Picture this: It's Wednesday afternoon, and two very different projects are staring you down. One is a quick, low-stakes email due by the end of the day. No stress. The other is a high-stakes proposal that could make or break your career, and it's due Friday. What's next?
Naturally, you approach each task differently. The quick email? You knock it out. But the high-stakes proposal is going to need careful research, planning and maybe even a late night. This is where my favorite cybernetic creative partner, ChatGPT, comes into play. Whether I'm tackling a five-minute task or something bigger, how I interact with ChatGPT changes the outcome. It all comes down to prompt engineering and prompt weighting: knowing how to craft your prompt and fine-tune the AI's effort.
Ideating Through Prompt Engineering
Here's where AI literacy comes in. Advanced AI users don't expect ChatGPT to do everything for them. Beginners might prompt ChatGPT to write an entire article and accept the first result, but more experienced users treat the process as a collaboration. They use prompt engineering to guide AI through brainstorming, research and content creation.
Think of ChatGPT as a brainstorming partner. Instead of settling for generic responses, you're actively shaping the content into something meaningful and useful.
Here's how to break the process into four key phases:
1. Discovery Phase
This is where you brainstorm and frame the task. Use AI to explore, gather ideas and iterate. It's messy but creative: you're casting a wide net to see what surfaces. For example:
- "What are the biggest challenges in remote team management?"
- "Provide 10 process improvement ideas for project workflows."
This foundational phase keeps everything that follows focused and relevant.
2. Development Phase
With raw ideas in hand, it's time to organize and refine them. Add context and detail to your prompt so ChatGPT can give deeper, more structured responses. For example:
- "Based on the challenges identified, draft a brief outline for a guide on overcoming remote work barriers."
This phase is about shaping a useful framework or outline to build on.
3. Detail Phase
Now it's time to expand the outline into a rough draft. Flesh out points with examples, case studies or data, and make sure the sections flow. ChatGPT can help fill gaps or clarify ideas. For example:
- "Expand the outline into a 3-page draft, emphasizing communication tools and team-building strategies."
At this stage, you're refining the content into a cohesive narrative.
4. Delivery Phase
Finally, polish the draft. Proofread for duplication, inconsistencies or filler, since ChatGPT may reuse concepts in different wording. Use AI for fact-checking and for rephrasing sections to improve readability. For example:
- "Review the draft for clarity and suggest edits to make it more concise."
Pro tip: After drafting, ask ChatGPT to critique your content from the perspective of your target audience. For example:
- "Review this proposal as a mid-level manager and point out gaps in the argument."
This helps you find blind spots and makes sure your work resonates with its intended audience.
The Power of Prompt Weighting
Once you've gathered ideas and assets, it's time to decide how much effort you want ChatGPT to invest. This is called prompt weighting. Prompt weighting controls how deep ChatGPT goes when preparing a response.
I discovered this concept when I jokingly challenged ChatGPT to "invoke the muse" and write the best article it had ever written. To my surprise, instead of spitting out an instant response, ChatGPT replied with:
For high-detail tasks, ChatGPT can take between 30 minutes and 3 hours to thoughtfully organize ideas, align them with an outline, and integrate finer details. If it's taking longer, I'll show you how to check in to make sure progress is on track.

Managing Timelines and Check-Ins
To get the best results on high-detail tasks, manage the process. Here's how:

- Request progress updates. For longer tasks, checking in keeps things on track. Ask questions like "How far along are you?" or "Can you summarize the main points covered so far?" A progress update might look like: "I'm 60% through. The first two sections are complete, and I'm focusing on integrating key stats into the next section."
- Communicate the stakes. Make sure ChatGPT understands how important the task is. For example: "This proposal is for a high-priority client. Take the time to make it comprehensive and polished."
Three Levels of Prompt Weighting
ChatGPT responses generally fall into three categories:
- Low detail: for quick tasks like reminders or basic information. Example: "Give me some hashtags that could create traffic for my post."
- Medium detail: for structured tasks like summaries or simple reports. Example: "Provide relevant hashtags ranked by popularity and suggest long-tail keywords for content marketing strategies."
- High detail: for complex, high-stakes tasks like proposals or presentations. Example: "This is a high-stakes marketing campaign. Provide an SEO strategy tailored to the target audience, including in-depth keyword research, audience segmentation and a content distribution plan."
